PRIVACY POLICY

This policy explains what information this website collects, why we collect it, who we share it with, and the choices you have. It is written for practice owners and administrators evaluating a billing partner, so it is deliberately specific.

Last updated:

Oremote Billing Solutions (“Oremote”, “we”, “us”) provides medical billing and revenue cycle management services to healthcare providers in the United States. This policy covers the information we collect through this website at https://oremote.co, including our contact and consultation form. It does not cover the patient data we process on behalf of client practices, which is governed separately — see the next section.

Website data and protected health information are not the same thing

Nothing on this website is intended to receive protected health information (PHI). Please do not submit patient names, dates of birth, member IDs, diagnoses, claim images or any other patient-identifiable information through the contact form or by unencrypted email.

When we deliver medical billing and revenue cycle services to a client practice, we act as a business associate of that practice under the Health Insurance Portability and Accountability Act (HIPAA). PHI is then handled inside the practice’s systems and under a signed Business Associate Agreement (BAA), and that agreement — together with the practice’s own Notice of Privacy Practices — governs how the information is used, disclosed, safeguarded and returned or destroyed. This website policy does not modify, replace or limit any BAA.

If you are a patient of one of our client practices, contact that practice directly about your records. We cannot discuss, release or amend a patient record on our own authority.

Information we collect

Information you give us

Our free consultation and contact form asks for the following. Only your name, email address and message are required; the rest help us prepare a useful first conversation.

  • First and last name
  • Email address
  • Practice name (optional)
  • Phone number (optional)
  • Practice specialty (optional)
  • Approximate monthly claim volume (optional)
  • Your current billing challenge (optional)
  • The message you write us

We also receive whatever you choose to send us when you email hello@oremote.co, call us, or apply for a role through our careers page — including a resume and the work history in it.

Information collected automatically

Like every website, this one is served by infrastructure that keeps request logs. Those logs typically include your IP address, browser and device type, the page requested, the referring page and a timestamp. We use them for security, abuse prevention and diagnosing errors. We also record submission timestamps against an IP address for a short period to rate-limit the contact form against automated spam.

We do not attempt to identify individual visitors from this data, and we do not build advertising profiles from it.

How we use your information

  • To answer your inquiry and prepare for a consultation.
  • To send you the proposal, pricing or scope information you asked for.
  • To follow up about a request you started but did not complete.
  • To evaluate a job application you send us.
  • To keep the website secure, available and free of automated abuse.
  • To meet our own legal, tax and record-keeping obligations.

We do not sell your personal information, and we do not share it with third parties for their own marketing. We do not use the information you send through this site to make automated decisions that produce legal or similarly significant effects.

Submitting the consultation form does not subscribe you to anything. The contact record described below is created already marked unsubscribed, so you cannot be swept into a marketing send by default. If we ever want to email you something that is not a reply to your inquiry, we will ask for your agreement first.

Cookies and analytics

This website does not use advertising cookies, retargeting pixels or cross-site tracking technologies. Fonts are self-hosted and served from our own domain, so simply loading a page does not disclose your visit to a font or ad network.

We may use privacy-respecting, aggregate analytics to understand which pages are useful — for example, how many people read a guide or reach the contact form. Where analytics are in use they are configured to report in aggregate rather than to profile individuals. If we ever introduce cookies that require consent, we will present a consent mechanism before setting them and update this policy accordingly.

Most browsers let you block or delete cookies in their settings. Blocking cookies will not prevent you from using this site.

Service providers we rely on

We share information with a small number of vendors who process it on our instructions and are bound to protect it:

  • Website hosting and content delivery. Serves these pages and maintains the request logs described above.
  • Transactional email delivery. Delivers your form submission to our team inbox. The contents of your message pass through this provider.
  • Business email and productivity tools. Where the inquiry then lives while we answer it.
  • Contact record storage. Alongside the email, our email provider keeps a contact record so we can find your inquiry again later. It holds your name, email address and the practice details you selected — practice name, phone, specialty, monthly claim volume and the challenge you flagged. The free-text message you write is not stored there; it stays in the email.

We may also disclose information where we are legally required to, where it is necessary to establish or defend legal claims, or in connection with a merger, acquisition or sale of assets — in which case we will tell you before your information becomes subject to a different policy.

Vendors that handle PHI in the course of client service delivery are engaged separately and under written agreements appropriate to that role. Our approach to safeguarding client data is summarized in our security and compliance FAQ, and the safeguards that apply to this website are described below.

How long we keep information

We keep consultation inquiries for as long as we are in conversation with you and for a reasonable period afterwards, so that we have context if you come back to us. Records that support a signed engagement, or that we must retain for tax, accounting or legal reasons, are kept for as long as those obligations require. Job applications are kept only for as long as it is useful to consider you for related work. Server logs are retained for a short operational period and then rotated. The contact record held with our email provider is removed when we delete the underlying inquiry. You can ask us to delete your information sooner using the contact details below.

How we protect information

This website is served over HTTPS, form submissions are transmitted encrypted in transit, and access to the inbox that receives them is limited to team members who need it. We apply administrative, technical and physical safeguards appropriate to the sensitivity of the information we hold. No method of transmission or storage is completely secure, so we cannot guarantee absolute security — which is the reason for the request above not to send PHI through this website.

Your privacy rights

Depending on where you live, you may have the right to request access to the personal information we hold about you, to have it corrected or deleted, to obtain a portable copy, to opt out of marketing communications, and to be free from discrimination for exercising any of these rights. Residents of California and other U.S. states with comprehensive privacy laws have these rights under their state statutes; visitors in the European Economic Area or the United Kingdom have equivalent rights under the GDPR, including the right to lodge a complaint with a supervisory authority.

To make a request, email hello@oremote.co with “Privacy request” in the subject line. We will verify your identity — usually by replying to the address that submitted the information — before acting, and we will respond within the period the applicable law allows. We do not sell or share personal information in the sense those terms are used in California law.

Requests about a patient record held by one of our client practices must go to that practice, which is the covered entity responsible for it.

Children’s privacy

This is a business-to-business website intended for healthcare providers, practice administrators and job applicants. It is not directed to children, and we do not knowingly collect personal information from anyone under 16 through it. If you believe a child has submitted information here, contact us and we will delete it.

Links to other websites

Our resource library, blog and guides sometimes link to payer portals, government sources and other third-party sites. We do not control those sites and are not responsible for their privacy practices. Read their policies before submitting information to them.

Changes to this policy

We may update this policy as our services, tools or legal obligations change. The “last updated” date at the top of the page always reflects the current version. If a change materially affects how we handle information you have already given us, we will take reasonable steps to tell you directly.
